M365 Retention vs. Backups: What’s the Difference?
Did you know… Microsoft does NOT back up your data in 365 and actually recommends that you have a 3rd party backup service in place to protect your data?
Question: But I have retention turned on, is that the same thing as backing up my data?
Answer: It is NOT the same thing, keep reading to learn more.
Having properly configured Retention Policies is a key component of any Microsoft 365 strategy. Retention policies are useful, powerful, and can even serve some of the same functions as a traditional backup, within limits. Better yet, the capability is included for no additional cost with many Microsoft 365 subscriptions (including Business Premium). But Retention Policies are NOT a replacement for a full backup strategy for your Microsoft 365 environment.
What’s the catch? It starts with the retention feature having a different business case and purpose than a backup solution. And this can make a big difference when you’re needing the capabilities that a full backup solution offers.
Let’s break down the differences!
What Retention Policies Do Well
Retention is built for compliance and continuity. When configured correctly, a Retention Policy can:
- Keep data from being deleted, even by the user
- Preserve emails, documents, Teams messages, and more
- Help with legal hold and audits
- Allow targeted recovery if you know what you’re looking for
In many cases, retention is enough to get back something that was deleted or changed. But there are risks.
Where Retention Falls Short
- It depends on the policy window. If your policy is 90 days, and nobody notices a deletion for 100, that data is gone.
- It assumes Microsoft’s Cloud stays intact and available.
- It doesn’t give you true point-in-time recovery. If a folder changes gradually over time, there’s no quick way to rewind the clock and restore the entire folder to that point in time.
- Policies can be misconfigured, overwritten, or even removed by admins without realizing the impact.
Retention is a powerful tool, but it’s not built for full recovery flexibility. It’s guardrails, not a parachute.
What Backups Do Differently
A proper backup solution gives you:
- True point-in-time restores
- Recovery options even after users are removed or licenses lapse
- Protection from accidental deletion, overwrites, or ransomware
- A second, independent copy of your data, outside Microsoft’s environment
Backups don’t care if a retention policy changed, someone made a mistake, or even if Microsoft lost your data (which can happen!). You pick the date and backup target, and restore what you need.
Why You Need Both
This isn’t either/or. Retention and backup serve different purposes, and when both are in place, they cover each other’s blind spots.
