GreenLoop IT Solutions today announced a managed Scan to SharePoint service. It delivers documents from a copier or multifunction printer (MFP) into a designated SharePoint library, using GreenLoop’s proprietary automation. Most scan-to-cloud products work only with specific devices or need extra hardware. GreenLoop’s service uses the scan-to-email feature that MFPs have included for decades, so those limits do not apply.

How it works

The scanner sends each scan to a shared mailbox in the client’s own Microsoft 365 tenant. When a message arrives, an automation workflow extracts the attachments, uploads them to the mapped SharePoint location, and removes the message from the mailbox. The mapping between mailbox and folder is stored in the workflow, so we can change where scans go with a configuration update and without reconfiguring the device.

Why it is different

Off-the-shelf scan-to-SharePoint options are usually tied to one copier vendor, or they scale poorly. Some managed solutions need physical hardware on site and still support only specific device models. With GreenLoop’s service, any device that can scan to email can send its scans to SharePoint. Mixed fleets and older devices are supported on the same terms as current-generation hardware.

Availability and pricing

Scan to SharePoint is available to existing GreenLoop managed services clients only. Pricing is a small monthly fee, based mainly on the number of scan sources and destinations configured. Existing clients can contact GreenLoop for pricing specific to their environment.
