GreenLoop IT Solutions has released a managed Scan to SharePoint service, delivering documents from a copier or multifunction printer into a designated SharePoint library using GreenLoop’s proprietary automation technology. Most scan-to-cloud products have specific compatibility limitations and/or hardware requirements. GreenLoop’s service instead leverages the scan-to-email functionality that MFPs have had built-in for decades, which eliminates these constraints.

How it works

A scanner sends its output to a shared mailbox inside the client’s own Microsoft 365 tenant. An automation workflow triggers on arrival, extracts the attachments, uploads them to the mapped SharePoint location, and clears the message from the mailbox. The mailbox-to-folder mapping is held in the workflow trigger, so routing changes are a configuration update rather than a device reconfiguration.

Why it is different

Off-the-shelf scan-to-SharePoint options are generally tied to the copier vendor, or they scale poorly. Some managed solutions require physical hardware on site and still only support specific device models. With GreenLoop’s solution, f the device can scan to email, the output can be captured to SharePoint. Mixed-fleet environments and older devices are supported on the same terms as current-generation hardware.

Availability and pricing

Scan to SharePoint is available to existing GreenLoop managed services clients only. Pricing is a small monthly fee based generally on the number of scan origins and destinations configured. Existing clients should contact GreenLoop for pricing specific to their environment.
