Creating and Mastering OneDrive Shortcuts

Basic Creation Steps

  • Start Simple
    Start by browsing to a document library within SharePoint or Teams (Files Tab).  Select a folder (item 1) and select Add shortcut to OneDrive (item 2). An alternate method is to click … on the same line as the file itself and select Add Shortcut to OneDrive.  This second method also works for individual files rather than just folders.

 

 

 

 

 

 

 

 

 

 

  • Confirm Shortcut Creation 
    Browse to your OneDrive within File Explorer, on the web, or on a mobile device, your choice!  The below image is from Windows File Explorer and shows the shortcut successfully created! Clicking on the shortcut will take you to the linked folder.  In the case of our example, the American Design awards folder within our Design SharePoint Site.

 

 

 

Organizing and Renaming Shortcuts

Important: Changing a shortcut’s name or location affects only your view, not the actual data it links to.  Think of this like changing a bookmark’s name in your web browser. For this reason, you should only ever personalize the shortcut. Renaming or moving underlying data will result in changes for everyone using that data.

  • Organizing
    Shortcuts are flexible and personal. They don’t alter the actual location of data.  Feel free to group your OneDrive shortcuts in a separate folder for better organization. Below is an example of this.  item 1 represents a custom folder in OneDrive where we’ve gathered our shortcuts for easy access (represented by item 2). Be wary when nesting shortcuts within folders as Windows has a hard-coded limit of 260 characters that can sometimes come into play when many layers of folders are used, or when file names are exceptionally long.

 

 

 

 

 

 

  • Renaming
    Simplifying your workspace with clear shortcut names is easy. Just like renaming a personal bookmark, renaming a shortcut doesn’t affect the actual shared files or folders. Customize shortcut names to make them more relevant to your work by right clicking them and selecting ‘rename’ or by renaming them through OneDrive clients.

Workflow-Centric Example: Streamlining Access to Essential Data

Discover the power of OneDrive shortcuts when used to streamline your daily tasks.  Let’s walk through a practical example here where our user has data in many locations within Microsoft 365 and only needs specific information from these locations!

  • Setting up a Central Hub (Optional)
    In this image we’ve created a folder from OneDrive on the web and named it Workflow Locations.  We also chose to make it blue to make it easily identifiable. (This color will not show in Windows Explorer, but if you use the web often, it can be useful!)

  • Adding Relevant Shortcuts
    Navigate through your SharePoint/Teams sites to identify crucial data. Add shortcuts to these locations into your OneDrive. For instance, in our example, we’ve chosen ‘American Design Awards’ and added it as a shortcut.

 

 

 

 

 

 

 

 

 

  • Organizing for Efficiency
    Once back in OneDrive, drag these newly created shortcuts into the ‘Workflow Locations’ folder. Here’s your chance to rename these shortcuts if you prefer, ensuring they align with your daily needs.

 

 

 

 

 

  • Accessible and Customized Workspace
    Your Workflow Locations folder, now populated with personalized shortcuts, becomes a hub of essential resources. This folder, adaptable across devices, streamlines your access to varied OneDrive/SharePoint areas within your organization and will persist across any device with OneDrive installed automatically.  Additionally, only data you’ve requested will sync, freeing your device from constant sync activity.

Key Insights
While shortcuts are personal and customizable, remember, any alterations within the shortcut’s linked content affects everyone. Treat the actual files and folders in these shortcuts with shared responsibility — they’re part of a collaborative space.

Troubleshooting & Best Practices

Understanding OneDrive Functionality

  • Essential Functionality
    OneDrive must be functioning correctly for shortcuts to work.  If the core OneDrive service is having issues or you are experiencing sign-in difficulties, both synced data and shortcuts will be affected.
  • Sync vs Shortcut
    OneDrive shortcuts do not automatically sync large amounts of data but provide access to data on-demand.  If you need offline access as part of your workflows (e.g., during a flight), consider using sync or selecting Keep on this Device by right-clicking a shortcut for specific files before disconnecting.

Converting from Sync to Shortcuts

  • Avoiding Conflicts
    Be cautious when using both OneDrive Shortcuts and OneDrive Sync together, especially in the same SharePoint library.  Only one technology may be utilized for an individual library. Users wishing to use both OneDrive Shortcuts and OneDrive Sync should pay extra attention to which libraries they use these technologies with as they cannot co-exist for the same library.
  • Breaking Sync without Data Loss
    • Start out by ensuring you are not actively syncing data.
    • Right click on a folder you are currently syncing and choose ‘View Online’ to easily prepare for conversion to a shortcut.
    • minimize this browser window, you’ll need it later!
    • Right click on that same folder you’re currently syncing and choose OneDrive -> Stop Sync.  Give this approximately 30 seconds to process.
    • Head back to your browser window, select the folder you’d like to create a shortcut for, and select Add Shortcut to OneDrive.
    • Note: Most errors are a result of trying to sync and add shortcuts to the same library at the same time.
